Do I need to charge GST on a New Zealand invoice?

You must charge GST if you're GST-registered with Inland Revenue (IRD). Registration is compulsory once your taxable supplies exceed NZ$60,000 in any rolling 12-month period. Below that, registration is voluntary.

New Zealand's GST rate is 15%, one of the broadest, simplest GST systems in the world: most supplies are taxable at 15%, with only a small list of zero-rated supplies (exports, international services) and a few exempt categories (financial services, residential rent).

In Invoicara, choose GST as the tax type and set the rate to 15%. If you're under the registration threshold and not voluntarily registered, leave tax off, there's no requirement to charge it.

New Zealand tax invoice requirements

From 1 April 2023, IRD replaced the strict "tax invoice" wording with a broader "taxable supply information" framework, but the underlying requirements are very similar. When you're GST-registered and the supply is over NZ$200, you must provide: the supplier's name and GST number; the date of the supply or invoice; a description of the goods or services; the amount of the supply (showing GST clearly); and the recipient's details if the supply exceeds NZ$1,000.

For supplies of NZ$200 or less, the requirements are lighter. Invoicara's layout works for both, fill what applies and skip what doesn't.

IRD number, business structure, and GST registration

Every New Zealand taxpayer has an IRD number, used for both income tax and GST. Sole traders use their personal IRD number for the business; companies and partnerships have their own IRD numbers issued when they register.

GST registration is a separate step but uses the same IRD number. Once registered, you charge 15% GST, issue compliant taxable-supply information, and file GST returns (usually two-monthly or six-monthly).

Add your GST number or IRD number to the Tax ID field; it prints on the downloaded PDF beneath your business address.

Payment terms in New Zealand

There's no statutory standard for private-sector payment terms in NZ, you set what you want on each invoice. The most common terms are "20th of the month following invoice", "Net 7", "Net 14", or "Net 30".

There's no general statutory interest right for overdue B2B invoices, but you can include a contractual late-payment interest clause in your terms, typically a percentage above the OCR or a flat monthly rate.

Invoicing in New Zealand — FAQ

Is this invoice generator free for New Zealand users?

Yes, 100% free, no sign-up, no watermark, unlimited invoices.

Does it work with NZD and 15% GST?

Yes, pick NZD from the currency dropdown for the NZ$ symbol and Kiwi number formatting, then set the tax to GST at 15%.

Can I add my IRD or GST number?

Yes, pop your IRD number (or GST registration number) into the Tax ID field and it prints on the downloaded PDF beneath your business address.

Sole trader vs limited company, does it make a difference?

Not in the tool. Sole traders use their own name plus IRD number; limited companies use the company name plus company IRD number. Both populate the same fields.

What if I'm under the NZ$60,000 GST threshold?

If you're under the threshold and not voluntarily registered, you don't need to charge GST. Simply skip the tax field, your invoice shows the subtotal as the total.

Is the invoice IRD-compliant?

If you fill in your business name, GST number (when registered), invoice number, date, the items, and totals, the layout covers every field IRD asks for in taxable-supply information. Always confirm against your specific situation.
