Do US invoices need sales tax?

The United States has no federal VAT or GST. Instead, sales tax is set at the state level, and sometimes by your city or county on top of that. Rates range from 0% in states like Oregon, Montana, New Hampshire, and Delaware to over 10% combined in some areas.

Many freelance and professional services are not taxable in a lot of states, but the rules vary widely. Physical product sales usually require you to collect sales tax if you have "nexus", a business presence, in the buyer's state.

If sales tax applies to you, add it in the tool's tax field as a percentage and the total updates automatically. If it doesn't apply, simply leave tax off and your invoice shows the subtotal as the total.

What to include on a US invoice

There's no federally mandated invoice format in the US, but a clear, professional invoice should always include: your name or business name and contact details; your client's name and address; a unique invoice number; the issue date and a payment due date; an itemized list of products or services with quantities and rates; the subtotal, any sales tax, and the total amount due; and your payment terms and accepted payment methods.

Do freelancers need an EIN to send invoices?

No. As a sole proprietor you can invoice using just your name and Social Security Number. That said, many freelancers get a free EIN (Employer Identification Number) from the IRS so they don't have to put their SSN on documents they send to clients. The invoice itself does not legally require a tax ID.

Invoices vs. 1099 forms

An invoice is the document you send a client to request payment. A 1099-NEC is a tax form your client files with the IRS if they pay you $600 or more during the year. They're separate things, but related: if you keep clean, numbered invoices throughout the year, reconciling your income at 1099 season becomes painless.
